File Ready Report for California Sales Tax Returns via Tax Reporting Framework SuiteApp
NetSuite adds a File Ready Report for California that consolidates tax-relevant transaction totals into a filing-ready format. Requires the Tax Reporting Framework SuiteApp and correct subsidiary/nexus/city-county mapping configuration.
What changed
A new File Ready Report – California is available to help prepare California sales tax returns directly from NetSuite transaction data. The report aggregates tax-relevant transaction totals into a format ready for filing, replacing manual consolidation steps.
The report is surfaced on the Country Tax Reports page under the Report Names list, but only appears when the subsidiary and nexus records are set to United States.
This feature depends on the Tax Reporting Framework SuiteApp. Oracle’s documentation does not specify which SuiteApp bundle ID this is or which release introduced the California report. Verify the bundle in your account under Customization > SuiteBundler > Search & Install Bundles.
Key prerequisites
- Tax Reporting Framework SuiteApp must be installed.
- The Country field on the relevant subsidiary record (Setup > Company > Subsidiaries) must be set to
United States. - The Country field on the relevant nexus record (Setup > Tax > Nexuses) must be set to
United States. This is a SuiteTax nexus record. - The city name in the billing address on transactions must exactly match the value in the City List field on the city county mapping record. If these do not match, NetSuite cannot apply the correct mapping and the report will produce incorrect or incomplete results.
What to do
- Install the Tax Reporting Framework SuiteApp if you have not already. Navigate to Customization > SuiteBundler > Search & Install Bundles and search for it by name.
- Confirm every subsidiary that files California sales tax has Country set to
United Stateson the subsidiary record. - Confirm every California nexus record has Country set to
United States. - Audit your transaction billing addresses against the City List values on city county mapping records. Mismatches will silently cause incorrect report output. Consider running a saved search on transactions filtered by state
CAand comparing thebillingaddress.cityfield to the mapping records. - Navigate to the Country Tax Reports page and verify that File Ready Report – California appears in the Report Names dropdown.
- Generate the report against a known period and reconcile the totals with your existing filing process before relying on it for production filings.
Caveats
Oracle’s documentation does not specify the exact release version that introduced this report, nor does it clarify whether the city county mapping record is a standard record or part of the SuiteApp bundle. It also does not document API-level access (e.g., whether the report can be triggered via SuiteScript or REST). If you need programmatic access, check for any scheduled script or SuiteApp-provided script IDs installed by the bundle.
