SuiteApprovals: Records for Approval Dashboard Portlet
SuiteApprovals adds a Records for Approval portlet showing purchase orders, vendor bills, expense reports, and journal entries awaiting approval, with a 1,000-record display cap on the review page and no filtering when launched from this portlet.
What changed
SuiteApprovals now includes a Records for Approval dashboard portlet. It surfaces four transaction types that require the current user's approval:
- Purchase Orders
- Vendor Bills
- Expense Reports
- Journal Entries
Clicking a record type opens the Review Documents Awaiting Approval page. That page displays up to 1,000 records at a time — the same cap that applies when reaching it from the SuiteApprovals Reminders portlet.
Key limitation
When the review page is opened from the Records for Approval portlet, filtering is not available. If you have more than 1,000 pending records, you must approve the visible batch and refresh to load the next set. Filtering is only available when the review page is accessed from the SuiteApprovals Reminders portlet instead.
Review page columns (from this portlet)
The columns shown when accessing via this portlet are:
- View — link to open the record in a new tab
- Date — transaction date
- Document Number — document/transaction number
- Vendor / Posting Period / Employee — context-sensitive column: Vendor for POs and vendor bills, Posting Period for journal entries, Employee for expense reports
- Memo — transaction memo
- Amount — transaction amount
- Currency — transaction currency
What to do
- Add the portlet: Open Personalize Dashboard → SuiteApps tab → select
SuiteApprovals | Records for Approval. - Verify SuiteApprovals is installed: This portlet requires the SuiteApprovals SuiteApp. Confirm it is installed and configured in your account under SuiteApp management.
- Plan for the 1,000-record cap: If your environment routinely queues more than 1,000 records for a single approver, consider using the Reminders portlet (which supports filtering) or distributing approval authority to keep queue depth manageable.
- Custom portlet scripts: If you maintain custom approval portlets or SuiteScript-based approval dashboards, evaluate whether this native portlet can replace them. The portlet does not expose a SuiteScript API or support saved-search-based customization — it is a fixed-column, non-filterable view.
